Below, all companies will be referred to collectively as J. Nørgaard Cafe A/S.

J. Nørgaard Cafe A/S handles all personal information in accordance with applicable personal data legislation. J. Nørgaard Cafe A/S enters into agreements with guests and suppliers regarding the delivery – purchase and sale – of various services and products.

When a guest orders and buys one or more of J. Nørgaard Cafe A/S’s services, and as part of this submits his personal data to J. Nørgaard Cafe A/S, he also gives his consent for the guest’s/supplier’s personal data to be processed by J. Nørgaard Cafe A/S. The same applies with regard to any personal data that suppliers to J. Nørgaard Cafe A/S provide to J. Nørgaard Cafe A/S in connection with making offers or entering into agreements with J. Nørgaard Cafe A/S .

2. J. Nørgaard Cafe A/S’s collection of personal data

Personal information is collected by J. Nørgaard Cafe A/S in the following way:

When a guest – or a representative for this – makes a table reservation, obtains an offer for a company, event or other service, or when a supplier makes an offer or sells products or services to J. Nørgaard Cafe A/S.
Through browser cookies on our websites.
From social media.
When suppliers enter into agreements with J. Nørgaard Cafe A/S or make offers to J. Nørgaard Cafe A/S.
Collection and processing of personal data, cf. above, will always take place in accordance with applicable personal data legislation.

3. Information that J. Nørgaard Cafe A/S collects

J. Nørgaard Cafe A/S collects the following personal data:

Name, address, telephone number, e-mail address, date of birth and other general non-personally sensitive information.
Payment card information – when purchasing gift cards and tickets for events.
Demographic information.
Purchase history.
Information from customer surveys and guest feedback.
Information from any competitions held.
Information from J. Nørgaard Cafe A/S social media and other digital platforms belonging to J. Nørgaard Cafe A/S.
Browser information.
Information about the guest’s company and relevant contact persons.
Information about suppliers’ business as well as information about relevant contact persons and key persons, including key accounts.
A guest/supplier may voluntarily and of his own choice provide J. Nørgaard Cafe A/S with additional personal data that he believes may be important for J. Nørgaard Cafe A/S’s servicing of the guest/supplier, or that the person in question believes should be provided by safety considerations.

This can e.g. be information about:

Handicap
Allergy
Special food preferences
Other health or medication information
If a guest/supplier chooses to provide such information voluntarily and by their own choice, J. Nørgaard Cafe A/S perceives this as consent to be able to register and store this sensitive information about the person concerned.

In addition to the information that J. Nørgaard Cafe A/S receives directly from guests/suppliers, J. Nørgaard Cafe A/S will in some cases obtain or process additional information that J. Nørgaard Cafe A/S has received from third parties, e.g. an intermediary or an employee of the company where the data subject is employed. Where this is the case, the relevant third party is obliged to inform the relevant guests/suppliers about J. Nørgaard Cafe A/S terms and conditions, as well as J. Nørgaard Cafe A/S personal data policy. It is also the responsibility of the third party in question to ensure that there is the necessary legal basis for the collection and processing of the information in question, including obtaining any necessary consent for the processing of any sensitive information.

In the case of reservations and orders for services and products, J. Nørgaard Cafe A/S stores the information provided by the guest/supplier for up to 2 years, after which the information is deleted.

4. Payment by payment card

J. Nørgaard Cafe A/S uses Quickpay https://quickpay.net/dk(Nets) and Buanco http://buanco.dk/to redeem payments with debit and credit cards in our canteens. J. Nørgaard Cafe A/S uses QuickPay to handle online purchases on our webshops, and we do not ourselves store information about means of payment, including e.g. card numbers on payment cards, bank account numbers or the like. Buanco as well as QuickPay and J. Nørgaard Cafe A/S are approved and certified by Pengeinstitutternes Betalingssystem (www.pbs.dk).

For orders and reservations, J. Nørgaard Cafe A/S stores the information provided by the guest/supplier for up to 2 years, after which the information is deleted. Excluded from this is information about payment and credit cards, which is deleted after the current year + 5 years.

In addition to handling the order, the information provided is only used if, for example, a guest/supplier approaches with questions or if there is an error in the order/payment.

5. What is the purpose of the collection and processing?

J. Nørgaard Cafe A/S only collects personal data that is necessary to fulfill the agreements entered into with guests/suppliers regarding the delivery of services, e.g. a table reservation at Europa1989 or purchase/sale of products or services. It is the content and character of the individual agreement that determines which personal data J. Nørgaard Cafe A/S collects and processes, and which determines the purpose of the collection.

The purpose of collecting and processing personal data will primarily be:

Processing guests’ reservations and purchases of J. Nørgaard Cafe A/S’s services.

Processing suppliers’ offers for, as well as the sale of, products and services.

Contact the guest before, during and after their visit.

Fulfillment of the guest’s request for an offer or purchase of services.

Improvement and development of J. Nørgaard Cafe A/S’s services.

Adaptation of J. Nørgaard Cafe A/S’s marketing and other communications.

Analysis of guests/suppliers’ user behavior and marketing towards them.

6. Authority – the legal basis – for the processing

J. Nørgaard Cafe A/S will most often process personal data because it is necessary to fulfill an agreement with J. Nørgaard Cafe A/S to which a guest or a supplier is a party. It may, for example, be in connection with holding a company, an event, meeting execution or handling and fulfillment of cooperation and supplier agreements.

If a guest in connection with a visit to J. Nørgaard Cafe A/S discloses special personal preferences or considerations, including e.g. health information, disability, religious beliefs or the like, J. Nørgaard Cafe A/S only uses the information to ensure that this is taken into account.

In some situations, J. Nørgaard Cafe A/S receives personal data from third parties, e.g. a travel agency, an agent or the like, i.a. in connection with group bookings. When this happens, the third party in question is required to inform the guests/suppliers in question about J. Nørgaard Cafe A/S terms and conditions and the content of this personal data policy.

7. The data subject’s rights

According to the rules in the Personal Data Regulation, the registered (guests/suppliers) have the following rights:

A registered person has the right at any time to gain insight into which personal data J. Nørgaard Cafe A/S processes about the registered person.

A registered person has the right at any time to have the personal data that J. Nørgaard Cafe A/S has about the registered person corrected and updated.

A data subject has the right at any time to have the personal data that J. Nørgaard Cafe A/S has about the data subject deleted. If a registered user requests deletion, all information that J. Nørgaard Cafe A/S is not legally required to store will be deleted. A deletion of the registered person’s information may in some cases mean that J. Nørgaard Cafe A/S cannot fulfill any concluded agreements or provide certain services to the data subject. If some of the information that J. Nørgaard Cafe A/S has about the data subject has been given on the basis of the data subject’s consent, the data subject has the right to withdraw consent at any time, which means that the information is deleted or no longer used by J. Nørgaard Cafe A/S.

The possibility to request deletion etc. however, may be limited for reasons of protection of other people’s privacy, trade secrets and intellectual property rights.

The registered person can at any time ask J. Nørgaard Cafe A/S in writing to get an overview of and a copy of the personal data about the registered person that J. Nørgaard Cafe A/S holds. A written request to this effect must be signed by the data subject and contain his name, address, telephone number and e-mail address.

The data subject can also contact J. Nørgaard Cafe A/S if the data subject believes that his personal data is being processed in violation of the law or in violation of other legal obligations, e.g. the agreement/contract that the data subject has with J. Nørgaard Cafe A/S. Written request is sent to J. Nørgaard Cafe A/S, see contact information above under section 1. J. Nørgaard Cafe A/S will, as far as possible, within 1 month of receiving the registered person’s written request send it to the registered person’s postal address.

If the data subject requests correction and/or deletion of his personal data, J. Nørgaard Cafe A/S will assess whether the conditions for the request are met, and J. Nørgaard Cafe A/S will, in that case, carry out changes or deletion as soon as possible possible. The registered person will at all times receive a response to the request within 1 month of receipt.

J. Nørgaard Cafe A/S reserves the right to reject requests that have the character of harassing repetition, that require disproportionate technical measures, that affect the protection of other data subjects’ personal data or in other situations where it would be disproportionately resource-intensive or very complicated to grant the request.

8. Security and sharing of personal data

J. Nørgaard Cafe A/S protects the data subject’s personal data and has established guidelines that protect the data subject’s personal data from unauthorized disclosure and from unauthorized persons gaining access or knowledge of it.

Only the persons employed at J. Nørgaard Cafe A/S, who by virtue of their job function need the registered personal data, have access to this. J. Nørgaard Cafe A/S continuously checks that there is no unauthorized access to the registered personal data.

In the event of a security breach, where there is a high risk of misuse of the data subject’s personal data, J. Nørgaard Cafe A/S will notify the data subject of the security breach as soon as possible. J. Nørgaard Cafe A/S’s security procedures are continuously reassessed and updated in relation to technological developments.

J. Nørgaard Cafe A/S makes use of a number of external suppliers of IT services, IT systems, payment solutions, etc. J. Nørgaard Cafe A/S enters into ongoing data processing agreements with all suppliers, whereby it is also ensured in relation to external data processors , that these maintain a necessary and high level of protection as far as the personal data of the registered are concerned.

J. Nørgaard Cafe A/S shares the registered person’s personal data internally within the group among J. Nørgaard Cafe A/S’s canteens. The aim is to be able to give the guest the best service and handling, regardless of which J. Nørgaard Cafe A/S canteen the guest uses.

J. Nørgaard Cafe A/S deletes your personal data when J. Nørgaard Cafe A/S’s legal obligation ends, or when the purpose for collecting and processing the information is no longer present. As a general rule, financial data is stored for 5 years and other data for 2 years from the last visit.
